It was a pleasure working with ImageX on the redesign of our website. Throughout the entire process ImageX patiently guided us through each step of the way. Categorizing in the Client Section
Proper Categorization will help us save a lot of time in looking for things if we’re all disciplined in putting things in their correct place.
Message Categorization
New projects typically have 4 categories for message types:
- Approvals
- Briefs
- Quotations/Additions
- General Questions/Comments
Approvals – Approvals will relate to anything that we need to get approval from a client on. They will be then titled by the subject matter. ie. “wireframe, sitemap, homepage concept, content page layout, content page images, flash header, logo concepts, etc…” Then if we ever need to find an approval from a client, we’ll just click on the messages tab and then click on the “Approvals” category on the right column. And then only those messages will appear. This may not seem like an issue on smaller projects, but definitely will save a lot of time on larger projects when you have to scan through 3 months of messages.
Briefs – When we’re in the course of information gathering we continually need to return to the briefs to add a file, images, or more details from the client. Later in the project we continually need access to the briefs to review project requirements. So having categorized and so quickly assessable in the right hand column saves time in getting to them.
Quotations/Additions – These messages would relate to project estimates, scope and requirements. They would also encompass additions.
General Questions/Comments – this would cover anything else on a project. Whether internal team discussions or client threads.
File Categorization
For file categorization, here are the default areas setup for all our projects:
- Documents
- Master Files
- Photos/Images
- Proposals and Quotations
Categorizing your files at the time you upload them may take you an extra second but will definitely save us time should we need to find something. Properly categorizing Master Files is very important should be need to access them in the future and also for backup
